Notes, archive and trash
Keep a thread of Markdown notes under any idea, archive ideas you're done with, and restore deleted ideas from the trash for 30 days.
On this page
Ideas grow, get finished and sometimes get thrown out. Notes let you add to an idea without rewriting it, the archive puts finished ideas away without losing them, and the trash gives you 30 days to change your mind.
Notes
Every idea has a thread of notes, like comments under a post. Tap a card to expand it and the notes appear under the idea, oldest first.
Add a note
- Expand the idea and choose Add note (once an idea has notes, the "Add a note…" box is always at the bottom of the thread).
- Write your note. Markdown works: lists, bold, links, code and so on.
- Press ⌘ Enter (Ctrl Enter on Windows and Linux) or choose Add. Esc clears the box.
For example, under "Start a #podcast about small gardens" you might add:
Talked to Sam: she'd do episode 1.
- record at the allotment
- 20 minutes maxYou can also add a quick one-line note from Explore with Reply. A note can be up to 20,000 characters.
Who wrote it
Each note shows who wrote it and when, with "· edited" if it has been changed since:
- You: notes you wrote in the app, including Explore replies and spark cards you add as a note.
- An assistant, by name (for example Claude), with a small sparkle icon ("Written by an assistant"): notes added by an AI assistant you've connected. See Connectors.
- Gemini or Automation, also with the sparkle icon: notes written by your automations, such as an AI note or a calendar event link.
Edit and delete notes
- You can edit any note, including ones written by an assistant or an automation: choose the pencil (Edit), then ⌘ Enter or Save; Esc cancels. The note keeps its author and shows "· edited".
- Assistants can only edit the notes they wrote themselves. They can't change your notes or another assistant's.
- Only you can delete a note. Choose the trash icon (Delete). A "Note deleted" toast offers Undo, which puts the note back in its place in the thread. Assistants have no way to delete notes.
Notes in the app
- Cards with notes show a small notes icon next to the tags, with the count when there's more than one.
- Find searches notes too, so a word that's only in a note still finds the idea.
- Notes are rendered safely: raw HTML isn't run, links open in a new tab (your browser, in the apps), and images never load by themselves. An image shows as a link like
[image: sketch]that opens only when you click it. - Notes you've opened before are saved on your device, so you can read them offline. Adding, editing and deleting need a connection.
Archive
Archive an idea when you're done with it, or it's no longer relevant, but you want to keep it. Archived ideas keep their tags and notes.
Archive an idea
Expand the idea and choose the archive icon (Archive). An "Archived" toast offers Undo. In Explore, Done does the same ("Done — archived").
Archived ideas are hidden from:
Browse the archive
Open Profile → Archive (the row shows how many ideas are archived), or Archive in the desktop sidebar. The archive lists the most recently archived ideas first and has its own search box, "Search the archive… or #tag", which works like Find for text and tags.
From an archived idea's card you can:
- Unarchive it: it goes back to your bucket ("Moved back to your bucket", with Undo).
- Edit it, or read and add notes.
- Delete it: it moves to the trash.
Who archived it
Idea Bucket records who archived each idea: you (in the app), an assistant (through a connector) or an automation (an "Archive" action). The app doesn't show this on the card. It's used in two places:
- An automation triggered by It's archived can be limited under Archived by to Me, Assistants and/or Automations, for example "When an assistant archives an idea…". See Automations.
- Connected assistants see who archived each idea, for example in a project's changelog. See MCP tools.
Unarchiving clears it.
Trash
Deleting an idea never removes it straight away. It moves to the trash, notes and all, for 30 days.
Delete an idea
Expand the idea and choose the trash icon (Delete). A "Moved to trash" toast offers Undo.
While an idea is in the trash:
- It doesn't show in Latest, Find, Explore, Surprise me, the archive or the tag counts.
- Assistants never see it, not even by its id.
- Automations don't run on it.
- Merging tags leaves it alone, so it comes back with the tags it had.
Restore or delete forever
Open Profile → Trash (the row shows how many ideas are in it), or Trash in the desktop sidebar. Each idea shows when it was deleted and how long it has left, for example "Deleted 3 days ago · 27 days left".
- Restore puts the idea back where it was: your bucket ("Restored") or, if it was archived, the archive ("Restored to the archive").
- Delete forever asks "Delete forever?" first. Choose Yes to remove the idea and its notes for good.
- Empty trash asks "Empty trash?" first, then deletes everything in the trash for good.
Ideas that have been in the trash for more than 30 days are deleted for good automatically, once a day. The trash needs a connection; offline it shows "Can't reach Idea Bucket. Check your connection."
